These Terms and Conditions (the “Terms”) set out the basis on which Rowena, trading as Safar Counselling (“I”, “me”, “my”), provides counselling, single-session therapy, and life coaching services to you (the “client”, “you”, “your”). By booking a session, you agree to these Terms.
1. About me
Safar Counselling is operated by Rowena as a sole trader, based in Cranleigh, Surrey.
I am a registered member of the British Association for Counselling and Psychotherapy (BACP), membership number 403740. I work in accordance with the BACP Ethical Framework for the Counselling Professions.
I also hold the following additional qualifications and memberships:
• The Foundation for Infant Loss Training
• Fil Infertility Specialist
• Certified Life Coach (Certified Life Coach Institute)
You can contact me at:
• Email: [email protected]
• Phone: 07879 648096
• Website: safarcounselling.co.uk
2. Services I offer
I provide the following services on a private, paid basis:
• Counselling, charged at £60 per session.
• Single-session therapy, charged at £110 for a 2-hour session.
• Transitional life coaching, charged at £70 per session.
These prices are correct at the date shown above and may change from time to time. Any price change will be communicated to you before your next booking is confirmed and will not affect sessions already booked.
Sessions are offered by Google Meet, Zoom, telephone, or in person where arranged in advance.
3. Booking and confirmation
Sessions are booked through the booking system on my website, by email, or by phone. A booking is confirmed once you have received a written confirmation from me (by email or through the booking system).
When you book, I collect your name, contact details, and any notes you choose to share to help me prepare for the session. I do not require detailed medical information at the point of booking.
4. Suitability
Counselling and life coaching are not a substitute for medical or psychiatric care. If you are in crisis, experiencing thoughts of self-harm or suicide, or in need of urgent mental health support, please contact your GP, dial 111, or call the Samaritans on 116 123. In a life-threatening emergency, dial 999.
If, in my professional judgement, the support you need falls outside what I can offer, I will discuss this with you and suggest alternative sources of help.
5. Payment
Payment is due after each session, by bank transfer or any other method agreed in advance. Invoices and payment details will be sent to you on the day of the session.
I do not currently take deposits at the point of booking.
6. Cancellations, rescheduling, and missed sessions
I operate a 24-hour cancellation policy. If you cancel or reschedule with at least 24 hours’ notice, no charge applies. Cancellations made within 24 hours of the session, and missed sessions, are charged at the full session rate.
If I need to cancel or reschedule a session due to illness or unforeseen circumstances, I will let you know as soon as possible and offer an alternative time. No charge will apply for sessions I cancel.
7. Confidentiality
Everything you share with me is treated as confidential and held in accordance with the BACP Ethical Framework and UK GDPR. There are limited circumstances in which I may need to break confidentiality, namely:
• Where I believe there is a serious and imminent risk of harm to you or someone else, including a child or vulnerable adult.
• Where I am required to disclose information by law or by court order.
• Where disclosure is required to comply with safeguarding obligations.
As part of my professional practice, I attend regular clinical supervision. In supervision, cases may be discussed in an anonymised form. My supervisor is bound by the same duty of confidentiality.
Wherever possible, I will discuss any need to share information with you first.
8. Records
I keep brief notes of our work together to support continuity and good practice. These notes are stored securely on a GDPR-compliant platform. Full details of how I handle your personal data are set out in my Privacy Policy.
9. Online and telephone sessions
Where sessions take place by Google Meet, Zoom, or telephone, you are responsible for ensuring you have a private, quiet space and a reliable internet or phone connection. If technical issues mean a session cannot proceed or has to end early through no fault of either of us, we will arrange to make up the time at no extra charge wherever possible.
I will not record sessions, and I ask that you do not record sessions either, unless we have specifically agreed this in writing.
10. Your responsibilities
You agree to:
• Provide accurate information when booking.
• Attend sessions on time and ready to engage.
• Let me know in good time if you need to cancel or reschedule.
• Pay for sessions promptly after each session.
• Treat me with courtesy and respect, as I will treat you.
11. Ending our work together
Either of us can end our therapeutic relationship at any time. Wherever possible, I encourage having an ending session to bring our work to a planned close, but this is your choice.
12. Complaints
If you are unhappy with anything about our work together, please tell me first so I can try to put it right. You can email [email protected] or call 07879 648096.
As a registered member of the BACP, I am bound by their Ethical Framework and complaints procedure. If you wish to make a formal complaint that we cannot resolve directly, you can contact the BACP at bacp.co.uk.
13. Liability
Counselling and life coaching are collaborative processes. I cannot guarantee specific outcomes. I take responsibility for working ethically, professionally, and in line with my training and the BACP Ethical Framework.
Nothing in these Terms limits or excludes my liability for death or personal injury caused by my negligence, fraud, or any liability that cannot be limited by law. Subject to that, my total liability to you is limited to the fees you have paid me for the session(s) that gave rise to the claim.
14. Use of the website
My website, safarcounselling.co.uk, is provided for information and to help you book sessions. Please do not misuse it or use it for any unlawful purpose. Content on the website is protected by copyright and may not be copied without my permission.
Website and platform provider
My website and booking system are built, hosted, and maintained by Begin Group Ltd, a third-party service provider. Begin Group Ltd is not responsible for my counselling, coaching, or any aspect of my professional practice. Any query about my services should be directed to me at [email protected].
15. Data protection
I process personal data in line with the UK GDPR and the Data Protection Act 2018. Full details are set out in my Privacy Policy, available on my website.
16. Changes to these Terms
I may update these Terms from time to time. The latest version will always be available on my website. The effective date at the top shows when they were last updated.
17. Governing law
These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
